Privacy notice
This notice describes how Paradyskloof Neighbourhood Watch ("PNW", "we", "us") processes your personal information in accordance with the South African Protection of Personal Information Act, 2013 (POPIA). This draft notice has not been reviewed by a lawyer — please obtain legal review before launch.
1. Responsible party
Paradyskloof Neighbourhood Watch, an unincorporated voluntary association of residents in Paradyskloof, Stellenbosch. Information Officer: the sitting Chairman. Contact: chairman@paradyskloof.com.
2. What we collect
- Names of household members (adults and dependents)
- Contact details (email, mobile phone)
- Residential address within Paradyskloof
- SA ID number (optional, only if you provide it)
- Vehicle registration numbers (optional)
- Uploaded documents (proof of address, and others you choose to upload)
- Records of dues payments
3. Why we collect it (purpose)
- To verify that you reside in Paradyskloof and qualify for membership.
- To maintain an up-to-date member list for the committee.
- To contact you about neighbourhood-watch matters, incidents, meetings, and dues.
- To coordinate with SAPS and private security providers when incidents involve your household.
- To distribute member-only communications (e.g. WhatsApp group invites).
4. Lawful basis
We rely on your consent (given via the registration form) and on our legitimate interest in administering a community safety organisation.
5. Who sees your data
Only members of the elected committee with admin access, and the adults of your household account, can view your records. We do not sell, rent, or share your personal data with marketers. We may share relevant information with SAPS or contracted security providers strictly for safety / response purposes.
6. Where it is stored
Records are stored in a managed database (Supabase) and document storage hosted in the EU region. Transmission to and from the site is encrypted (HTTPS). Documents are stored in a private bucket accessible only to your household and admins.
7. How long we keep it
We keep your data for as long as you are a member. If you resign, request deletion, or stop paying dues for more than 24 months, your records are removed except for an anonymised dues-history line retained for audit.
8. Your rights
- Access & correction: view and edit your details on the dashboard.
- Deletion ("right to erasure"): the "Delete my account" button on the dashboard removes your records and uploaded files.
- Objection / complaint: contact the Information Officer or the Information Regulator at inforegulator.org.za.
9. Changes to this notice
We may update this notice from time to time. Material changes will be communicated to all active members.
